Following are the procedures to be followed if you have been approved to host tournament or league within the Southern Pacific Water Polo Zone.

Prior to this point you should have already done this so that your event shows up in the Southern Pacific Calendar. If not, then you will need to do that first before proceeding. YOU MAY NEITHER HOST YOUR EVENT NOR REQUEST REFEREES UNLESS YOU HAVE FOLLOWED THE PROCEDURES TO GET YOUR EVENT APPROVED BY THE ZONE, SANCTIONED BY USA WATER POLO AND SUBSEQUENTLY ENTERED INTO THE SOUTHERN PACIFIC CALENDAR!

STEP 1: PUBLICIZE YOUR EVENT AND DISSEMINATE ENTRY INFORMATION, EITHER ONLINE OR THRU ANOTHER METHOD
Your entry information must include the name of your approved event, dates, divisions, duration of quarters of play, entry fees, minimum number of games, award information, method or procedure for entry and payment of fees, entry and payment deadlines, rules specific to your event especially if they differ from USAWP rules, advancement procedures, and limits to entries if any (number of teams and/or whether open event or invitational).

STEP 2: PRODUCE SCHEDULES AND REQUEST OFFICIALS
In accordance with your publicized deadlines, you need to produce and disseminate a schedule of games for your event. In addition, you need to follow the procedure for requesting referees for your event.

STEP 3: STAFF AND OPERATE THE GAMES USING THE FOLLOWING DOCUMENTS (Excel & Word)
You will need to staff and operate the score tables for each game. Each team must supply a verified roster prior to each game and those names and cap numbers must be entered into the score sheets. Games may not begin until the verified rosters have been supplied.
If rosters are not provided, the game may not begin and the team that does not have the roster will take a forfeit and be subject to all penalties associated with a forfeit.  For the first game of a tournament, a team without a roster may provide a hand written roster signed by the coach that declares all players are current members.  Before the second game, any team submitting a hand written roster MUST provide a USAWP verified roster.  If such roster is not submitted by the second game, the team will not be allowed to play any further.  If it is found that the coach’s hand written roster was in error, that coach will be subject to fine and sanction.

STEP 4: REPORT RESULTS AND ADVANCEMENTS, IDEALLY IN REAL TIME
After the conclusion of each game the scores must be reported to the event director for the event or other authorized source for posting at the venue(s) and ideally posted online as well. Advancements must be tracked and posted and ideally given a source to contact (online or cell phone) so that the teams know when they will play their next game(s).
